Registrar Services

The Registrar's Office provides support services for students, faculty and staff. All academic records at Southeastern Tech are maintained by the Office of the Registrar. The following information is provided as a service to you:

Quarterly Registration/Schedule Information

Registration information is contained within our BannerWeb system. To find out more information, click on the BannerWeb link and it will take you to the system log-in. You will need your student ID number and pin that you were given at the time of acceptance for log-in. Please contact the Registrar’s Office if you have difficulty with BannerWeb.

Graduation/Course Requirements

For information regarding graduation requirements, consult the STC e-Catalog. To ensure that you have met all of the requirements for graduation, check with your program advisor at the beginning of your last quarter. Your advisor will submit a signed Program Advisement Sheet to the Registrar’s Office for a preliminary graduation audit.

Students must apply for graduation at the beginning of their last quarter with the Registrar's Office at the time of registration for your final quarter. For diploma/degree seeking students, the graduation fee is $35 for students participating in the ceremony. The fee for certificate seeking students is $20 for students participating in the Certificate Ceremony. This fee covers the cost of the credential, cover and cap and gown ensemble. For students not participating in the ceremonies, the printing cost of the credential is $10 and a cover may be purchased for an additional $5.

Graduation Ceremonies

Graduation ceremonies for degree/diploma seeking students are held twice per year in April and October. A certificate ceremony is held once per year in June to recognize certificate graduates. Please contact the Registrar’s Office for the dates.

Grades/GPA Information

Final grades for the quarter may be viewed on BannerWeb 3-5 working days after the quarter ends. Your academic GPA may be calculated using this electronic calculator - http://www.back2college.com/gpa.htm.

Course Withdrawals

Students may initiate a course withdrawal through the Student Affairs Office. Students will be dropped due to attendance when they have missed 10% of the class time. A student will receive a grade of a W if a withdrawal is processed during the first five weeks of the course (prior to midterm). After midterm, a grade of WP (withdraw passing) or a WF (withdrawn failing) will be assigned.

Transcripts

Unofficial transcripts may be accessed through Bannerweb. Official transcripts must be requested through the Registrar’s Office. A Records Release form must be completed by the student in order for the transcript to be released. Students may request one official transcript free of charge. There will be a $3 fee for additional transcripts.

Enrollment Verifications

Enrollment Verifications may be printed by accessing the Enrollment Verifications link on Bannerweb. Employers or other agencies may request enrollment verification information by contacting the National Student Clearinghouse – www.studentclearinghouse.org or www.degreeverify.com.

FERPA

Notification of Student Rights under FERPA
The Family Educational Rights and Privacy Act (FERPA) affords students certain rights with respect to their education records. These rights include:

  1. The right to inspect and review the student's education records within 45 days of the day the College receives a request for access. Students should submit to the registrar, dean, head of the academic department, or other appropriate official, written requests that identify the record(s) they wish to inspect. The College official will make arrangements for access and notify the student of the time and place where the records may be inspected. If the records are not maintained by the College official to whom the request was submitted, that official shall advise the student of the correct official to whom the request should be addressed.
  2. The right to request the amendment of the student's education records that the student believes is inaccurate. Students may ask the College to amend a record that they believe is inaccurate. They should write the College official responsible for the record, clearly identify the part of the record they want changed, and specify why it is inaccurate. If the College decides not to amend the record as requested by the student, the College will notify the student of the decision and advise the student of his or her right to a hearing regarding the request for amendment. Additional information regarding the hearing procedures will be provided to the student when notified of the right to a hearing.
  3. The right to consent to disclosures of personally identifiable information contained in the student's education records, except to the extent that FERPA authorizes disclosure without consent. Gainesville State College will disclose information from a student’s education records only with the written consent of the student, except:
    1. to school officials with legitimate educational interests. A school official is a person employed by the College in an administrative, supervisory, academic or research, or support staff position (including law enforcement unit personnel and health staff); a person or company with whom the College has contracted (such as the National Student Clearinghouse, an attorney, auditor, state and local educational authorities, or collection agent); a person serving on the Board of Regents; or a student serving on an official committee, such as a disciplinary or grievance committee, or assisting another school official in performing his or her tasks. A school official has a legitimate educational interest if the official needs to review an education record in order to fulfill his or her professional responsibility.
    2. in connection with a student’s application for, and receipt of, financial aid.
    3. to comply with a judicial order or lawfully issued subpoena.
    4. to parents of dependent students as defined by the Internal Revenue Code, Section 152.
    5. to officials of other higher education institutions in which a student seeks or intends to enroll.
    Southeastern Technical College has designated the following items as Directory Information: student’s name, photograph, address (email and permanent), dates of registered attendance, division of enrollment, major field of study, full-time/part-time status, nature and dates of degrees and awards received, class standing, high school attended and participation in officially recognized organizations. The College may disclose any of these items without prior written consent, unless the student has submitted a written request to the Registrar not to release directory information pertaining to him or her. Requests will be processed within 24 hours after receipt.
  4. The right to file a complaint with the U.S. Department of Education concerning alleged failures by Gainesville State College to comply with the requirements of FERPA. The name and address of the Office that administers FERPA is:
